Preamble


The NHR Alliance takes the protection of your personal data seriously. We protect your data in accordance with German and European data protection law, in particular the General Data Protection Regulation (DSGVO). In the following, we inform you about which personal data we process when and how on which legal basis. We also inform you about your rights in connection with the processing of your personal data.

Subject of data protection


The subject of data protection is personal data. According to Art. 4 No. 1 of the GDPR, this is any information relating to an identified or identifiable natural person. This includes, for example, information such as name, address, e-mail address or telephone number.
You have the possibility to contact us on our website. For this purpose, it is necessary to provide your name and e-mail address. The data is usually processed with your consent pursuant to Art. 6 para. 1 p. 1 lit. a DSGVO for the purpose of responding to your request. The granting of consent is voluntary and can be revoked at any time with effect for the future.
 

Data sharing


Your personal data will not be transferred to third parties for purposes other than those listed below.
We will only share your personal information with third parties if:

  • you have given your express consent to this in accordance with Art. 6 (1) p. 1 lit. a) DSGVO,
  • the disclosure is necessary in accordance with Art. 6 (1) p. 1 lit. f) DSGVO for the assertion, exercise or defense of legal claims and there is no reason to assume that you have an overriding interest worthy of protection in the non-disclosure of your data,
  • in the event that a legal obligation exists for the disclosure pursuant to Art. 6 (1) sentence 1 lit. c) DSGVO, as well as
  • this is legally permissible and necessary according to Art. 6 para. 1 p. 1 lit. b) DSGVO for the processing of contractual relationships with you.

Contact data for the purpose of maintaining contact
Consent to register for the e-mail newsletter and the storage of contact data for the purpose of maintaining contacts and invitations to follow-up events.

Photos and filming during the event
During the event photos and/or filming will be taken. The recordings are used exclusively for reporting on the event as well as for public relations and will be published in print and online media of NHR. Participants of the event have the right and the possibility to inform the photographers at any time that they do not want to be photographed or that their photographs should not be published. If specific photographs of individual persons are taken, the photographers will verbally obtain permission for the recording and its use.

Evaluation sheet at the end of the event
At the end of an event, participants may be provided with evaluation forms with which they can assess the quality of the event and give suggestions for improvement as well as wishes for follow-up events. The data is requested anonymously. Even if handwritten, identifiable information is provided, an anonymous evaluation will always take place.

In addition, the following data is collected automatically

  • The confirmation of the declaration of consent
  • Date and time of submission of the form
  • IP address of the user, if applicable


Logfiles


When you access our site, we collect certain information about your computer: the IP address, the request and the request time of your browser. In addition, the status and the amount of data transferred as part of this request are recorded. We collect product and version information about the browser and operating system used by your computer and from which website the access to our site was made. Your IP address is only stored for the time of the website use and is then immediately deleted or anonymized by shortening. The remaining data is stored for a limited period of time. We use this data for the operation of our website (Art. 6 para. 1 p. 1 lit. f DSGVO).
 

Social media


Data processing is carried out by the respective provider of the social media platform. Data processing outside the European Union cannot be ruled out. The provider of the platform may provide us with aggregated usage data. If you only visit the social media site, we have no access to personal data.
The legal basis for data processing is Art. 6 (1) lit. f DSGVO. In the case of consent in the form of an opt-in ("tick box", "activate button") or any other form of obtaining consent, the legal basis is Art. 6 (1) lit. a DSGVO. Consent can be revoked at any time without giving reasons to the person to whom it was given, with effect for the future. Since the data processing is carried out by the provider of the platform, we recommend that you contact the respective provider of the platform for your rights to information, correction, deletion, data portability and objection in the context of visiting our social media channels.

Your rights


You have the following rights with respect to us regarding personal data concerning you:

  • According to Art. 15 DSGVO, you may request information about your personal data processed by us. In particular, you may request information about the processing purposes, the category of personal data, the categories of recipients to whom your data has been or will be disclosed, the planned storage period, the existence of a right to rectification, erasure, restriction of processing or objection, the existence of a right of complaint, the origin of your data if it has not been collected by us, and the existence of automated decision-making, including profiling, and, if applicable, meaningful information about its details;
  • In accordance with Art. 16 DSGVO, you can immediately request the correction of incorrect or completion of your personal data stored by us;
  • Pursuant to Art. 17 DSGVO, you have the possibility to request the erasure of your personal data stored by us, unless the processing is necessary for the exercise of the right to freedom of expression and information, for compliance with a legal obligation, for reasons of public interest, or for the establishment, exercise or defense of legal claims;
  • Pursuant to Art. 18 DSGVO, you may request the restriction of the processing of your personal data insofar as the accuracy of the data is disputed by you, the processing is unlawful, but you object to its erasure and we no longer require the data, but you need it for the assertion, exercise or defense of legal claims or you have objected to the processing pursuant to Art. 21 DSGVO;
  • Pursuant to Art. 20 DSGVO, you may receive your personal data that you have provided to us in a structured, common and machine-readable format or request that it be transferred to another controller;
  • According to Art. 7 (3) DSGVO, you have the option to revoke your consent at any time. This has the consequence that we may no longer continue the data processing based on this consent for the future, and
  • complain to a supervisory authority in accordance with Art. 77 DSGVO. As a rule, you can contact the supervisory authority of your usual place of residence or workplace or our club headquarters.


Right of objection


Insofar as your personal data is processed on the basis of legitimate interests pursuant to Art. 6 (1) p. 1 lit. f) DSGVO, you have the right to object to the processing of your personal data pursuant to Art. 21 DSGVO, insofar as there are grounds for doing so that arise from your particular situation or the objection is directed against direct advertising. In the latter case, you have a general right to object, which must be implemented by us without stating a specific reason. Privacy policy - Applications

Description and scope of data processing
In connection with your application for a doctoral scholarship of the NHR Association, the following categories of personal data are collected and processed from you as the data subject:

  • Salutation
  • Name, first name
  • Address
  • Date of birth / Place of birth / Nationality
  • E-mail address /possibly phone number
  • Gender
  • Tax ID
  • Account data
  • Supervisor/faculty/program of study
  • other scholarships / scholarship amount / scholarship provider
  • Letter of motivation / curriculum vitae in tabular form
  • Certificate of university entrance qualification / matriculation certificate
  • Qualification (Bachelor/Master)
  • Expert opinion of the person in charge
  • Research Report

This personal data, some of which you have already sent to us in your application, is stored in our system. This data is not stored together with other personal data of the persons concerned.


Subject of data protection


The subject of data protection is personal data. According to Art. 4 No. 1 DSGVO, this is any information relating to an identified or identifiable natural person. This includes, for example, details such as name, address, e-mail address or telephone number, but also information that is accessible during the scholarship period.

  • All information of a personal nature collected as part of the application for a fellowship will be processed and used solely for the purpose of selecting and supervising the fellows. As part of the selection process, some of your data (name, university degree, name and institution of the supervisor, description of the project) will also be passed on to external reviewers.

Please note that if you receive funding, your name, the period of funding, the title of your research paper, and the respective research site may be published offline and online.

  • As a general rule, data is deleted as soon as it is no longer required to fulfill the tasks of the grant. 
  • After the end of the scholarship, the NHR Association reserves the right to continue to present the project of the former scholarship holders on its website.


Disclosure of data


Your personal data will not be transferred to third parties for purposes other than those listed below.

Your rights


You have the following rights with respect to us regarding personal data concerning you:

  • According to Art. 15 DSGVO, you may request information about your personal data processed by us. Duration of storage


The personal data we process are kept in a form that permits identification of data subjects only for as long as is necessary for the purposes for which they are processed.
In the event of a grant being awarded, your data will generally be deleted after expiry of the statutory retention period following the end of the grant - generally six years - unless archiving is required in the public interest. Prior to this, the data will not be deleted after the end of the funding period, but data processing will only be restricted, i.e. the data will be blocked and not used for other purposes.
